Overview

In early 2023, our team was given the opportunity to revamp our company's intranet platform. The company intranet had last been updated almost a decade ago — an update was well overdue. I collaborated closely with another designer and developer to modernise the platform, to create a better experience for employees.

We led a series of internal co-creation workshops to gather inputs and ideate a platform that is meaningful and relevant for the company.

The intranet's new design was met with positive sentiments from the employees and saw an 67% increase in traffic and 23% increase in engagement.

Some pages are hidden behind multiple menu overlays, making it difficult to search for certain content.

WORKSHOPS & CO-CREATIONS

Employees Envision a Dynamic & Engaging Intranet

We presented the audit findings to department representatives and led co-creation workshops to reimagine the platform together. These sessions addressed outdated content issues while empowering employees to articulate their vision for a new intranet.

Key Findings from Workshops:

  • Employees wanted the intranet to reflect their department identity and mission.

  • Fun and engaging content was essential to entice frequent visits.

  • Beyond functional updates, employees valued features that fostered a sense of community and made the platform less corporate.

FINAL DESIGN

Sleek Design with Improved Usability & Engaging Features

Using insights from the workshops and research, we implemented the following key enhancements:

Centralised all organisational documents and process forms for easy access, reducing the number of clicks and improving user flow.

Enhanced Department Identity

Introduced organisation charts for each department, linked to the HR backend system. Changes in personnel or titles are now automatically updated, making it easier for employees to locate key contacts.

The revamped intranet launched with overwhelmingly positive feedback:
